Running a Multi-Staff Nail Salon: Capacity, Scheduling and Performance
How to schedule a nail salon with several technicians: per-person capacity, "anyone available" bookings, who takes clients and which staff metrics matter.

In short
- With more than one technician, your calendar is really several calendars. Availability has to be calculated per person, or you will either double book or turn clients away while someone is free.
- Let clients pick a specific technician or "anyone available", and assign "anyone" bookings to the least busy person so work is shared fairly.
- Review a few numbers per team member every month: revenue, appointments, no-show rate, utilization and average ticket.

The capacity problem most salons do not notice
A single shared calendar works for one technician. With three, it quietly breaks. If your booking tool treats the salon as one chair, a 14:00 booking blocks 14:00 for everyone, and two free technicians sit idle while the online calendar shows "fully booked".
The opposite error is just as costly: a tool that ignores who is working can accept three bookings at 14:00 when only two people are in.
The fix is to calculate availability per person. A slot is free if at least one technician who does that service is free for the whole duration.
"Anyone available" vs a specific technician
Clients fall into two camps. Regulars want their own technician. New clients usually do not care, they want the time that suits them. Offer both:
- A specific person: the calendar shows only her free times.
- Anyone available: the calendar shows every time at least one person is free, and the booking is assigned automatically.
Assign fairly
When a booking comes in as "anyone", give it to the technician with the lightest day. It spreads work evenly, avoids burnout and keeps earnings fair on commission. CutieCure Salon does this automatically and shows who was assigned right after the booking is created.
Decide who takes bookings
Not everyone on the team should appear as bookable. Common cases:
- An owner who manages the salon but no longer does nails.
- A trainee who assists but does not take her own clients yet.
- A technician on long leave.
Switching someone off should remove her from online booking and from capacity at once, without removing her from the team. In CutieCure Salon the owner turns "takes bookings" on or off per person, and the system prevents you from switching off the last bookable person by mistake.
Roles and permissions
As the team grows, not everyone needs access to everything. A simple split that works for most salons:
- Owner: billing, campaigns, staff settings, everything.
- Manager: calendar, customers, services, campaigns and team performance.
- Technician: her own calendar and the customers she serves.
The five staff metrics worth checking monthly
You do not need a spreadsheet of twenty KPIs. Five numbers tell you almost everything:
- Revenue from completed appointments. Not booked revenue, which includes no-shows.
- Appointments, completed vs cancelled. Shows reliability and demand.
- No-show rate. A high rate for one person is a scheduling or reminder problem, not a people problem, until proven otherwise.
- Utilization. Booked minutes divided by open minutes. Below 50% means capacity to sell, above 90% means you are close to turning clients away.
- Average ticket. Who sells packages and add-ons, and who could learn from them.
The staff performance view in CutieCure Salon shows these per team member for the last 7, 30 or 90 days, plus new clients served and top services. Appointments without an assigned technician appear on their own line so they do not distort anyone's numbers.
Commission, fairness and the calendar
In salons where technicians earn a commission, the calendar is also a pay slip. If "anyone available" bookings always land on the same person, the others notice quickly. Automatic assignment to the least busy technician removes that argument, and the performance numbers let you show it is fair.
Regulars who always ask for the same technician are a good thing, not a problem. Make sure newer team members get enough new clients to build their own regulars, and check their utilization after a few months.
Onboarding a new technician
- 1Send the invitation and choose her role (manager or technician).
- 2Keep "takes bookings" on and let "anyone available" bookings reach her too, so she builds a client base.
- 3Keep service durations at the salon average, and add short gaps in her first month if she needs them.
- 4After a month, review her utilization, average ticket and no-show rate together.
Scheduling habits that keep a busy salon calm
- Set honest durations per service, including clean-up, so back to back bookings do not run late.
- Keep one short buffer slot per technician in the afternoon for overruns and walk-ins.
- Put long services (full sets, bridal) at the start of the day.
- Review tomorrow's calendar together at closing time.

Frequently asked questions
Can two clients book the same time if I have two technicians?
Yes, as long as availability is calculated per person. CutieCure Salon counts how many bookable technicians are free for the full service duration.
How are "anyone available" bookings assigned?
To the free technician with the fewest appointments around that time, so work is shared evenly.
Can I hide the owner from online booking?
Yes. Switch off "takes bookings" for the owner. She stays on the team but no longer appears as bookable.
Who can see staff performance?
The owner, managers and team members with staff management permission.
