What to text a client who did not show up
After a no-show, send a short, calm message the same day: say you missed her, check that she is OK and offer to rebook. Keep it friendly the first time, mention your policy the second time, and be clear about what changes if it happens again; the templates below follow that order.
Updated
When to send it
- The same day, about 15 to 30 minutes after the start time, once your grace period is over.
- Only once per missed appointment; if she does not reply, leave it.
- Before you apply any rule from your policy, so the client hears it from you first.
- Not in anger: if you are annoyed, wait an hour and send the calm version.

First time, friendly
Hi {name}, we missed you today at {time} for your {service}. I hope everything is OK! Would you like to rebook? I have {day} at {time 2} or {day 2} at {time 3} free.
First time, with policy
Hi {name}, we were expecting you today at {time} and hope all is well. Just a gentle reminder of our policy: please let us know at least {hours} hours ahead if you can't make it, so we can give the slot to someone else. Shall I find you a new time?
Second time
Hi {name}, we didn't see you today at {time}, and it's the second missed appointment. We understand things happen, but an empty slot is lost work for us. For your next booking, {policy rule}. Let me know if you'd like a new time.
Repeat no-show, online booking blocked
Hi {name}, after several missed appointments we're no longer able to accept online bookings for you. If you'd like to come in again, just message us directly and we'll arrange a time together.
She replies with a reason
Thank you for letting me know, {name}, and I hope you're feeling better. No problem this time. Would {day} at {time} work for you?
Tips for writing it
- Assume the best the first time: illness, traffic and forgotten appointments happen to good clients too.
- Write your policy before you need it and quote it word for word, so it never sounds personal.
- Always end with a way back, even in the firm message: a time to rebook or how to contact you.
- Note every no-show in the client's record, so you know if it is the first or the third.
In CutieCure Salon
In CutieCure Salon you can mark an appointment as a no-show, and the client's record keeps her visit history with your notes. For repeat no-shows, add the client to the online booking block list: she can no longer book online and has to contact you directly.
Questions
Should I message a client who did not show up?
Yes, once and calmly, the same day. It shows you noticed, gives her a chance to explain and often leads to a new booking.
How do I handle a client who keeps not showing up?
Remind her of your policy after the second time, then apply what it says: for example, booking only by message, or no online booking for her.
What should a no-show message avoid?
Blame, sarcasm and long explanations. Keep it short, state the facts and your policy, and offer a way to rebook.
