Messages for rescheduling a nail appointment

When the salon has to move an appointment, say sorry, give the reason in one line and offer two or three specific new times so the client only has to pick one. When a client asks to reschedule, thank her for letting you know and reply with free times, or your booking link, straight away.

Updated

When to send it

  • As soon as you know the appointment cannot go ahead, not on the morning itself if you can avoid it.
  • For a same-day change, send the message and call as well if she has not read it within the hour.
  • When another tech can take the appointment, so she can choose between the same time with someone else or a new time.
  • When a client asks to move her appointment: reply quickly, before the slot she is leaving gets lost.

Replace the parts in {curly braces} before sending.

  1. Tech is off sick

Hi {name}, I'm so sorry, {technician} is ill today and can't do your {service} at {time}. Could you come on {option 1} or {option 2} instead? Just reply with the one that suits you and I'll book it.

  2. Salon emergency

Hi {name}, unfortunately we have to close the salon {day} because of {reason}, so we need to move your {service} at {time}. I'm really sorry for the trouble. Free times this week: {option 1}, {option 2}, {option 3}. Which one works for you?

  3. Same time, another tech

Hi {name}, {technician} can't make it {day}, but {other technician} is free at the same time, {time}, for your {service}. Would that be OK, or would you rather wait for {technician} on {option 1}?

  4. Salon cancels, client picks a time

Hi {name}, I'm sorry, we have to cancel your {service} on {day} at {time}. You can choose a new time that suits you here, it only shows free times: {booking link}. If you can't find one, reply and I'll make space for you.

  5. Reply: client asks to reschedule

Hi {name}, thanks for letting me know! No problem. I can offer {option 1} or {option 2}, or you can pick another free time here: {booking link}. Your {day} {time} appointment is cancelled.

  6. Reply: short notice, with your policy

Hi {name}, thanks for telling us. Your appointment is moved to {new time}. Just a gentle reminder that we ask for {hours} hours' notice for changes, so we can offer the slot to someone else. See you then!

Tips for writing it

  • Offer real, specific times. "When suits you?" starts a long back-and-forth; two options usually end it in one reply.
  • When the salon moves the appointment, say sorry once and clearly; do not over-explain a tech's illness.
  • Confirm the new day and time in writing once she agrees, so there is no doubt about which appointment stands.
  • Keep your policy line for repeat late changes, not for a regular who moves once a year.

Questions

How do I tell a client I need to reschedule her nail appointment?

Message her as soon as you know, say sorry, give a short reason and offer two or three specific new times. If it is the same day, call as well.

How do I reply when a client asks to reschedule?

Thank her for telling you, confirm the old appointment is cancelled and offer new times or your booking link in the same message.

Should I offer something when the salon cancels?

A sincere apology and priority on the next free times are usually enough. If you add anything more, choose something you are happy to repeat every time.
